Who should Exhibit?
PASAP invites any provider of services or products that support or assist students in eliminating barriers to learning and school success to exhibit at the annual conference.
This includes for profit organizations who have products for sale; those interested may also purchase an exhibit space pending approval of the PASAP Board of Directors.
Exhibit Hall - The exhibit hall is carpeted. All spaces will be provided with one table (6’) topped with flame resistant, vinyl and draped with a pleated flame resistant fabric skirt. Two chairs and one wastebasket will be provided. A standard identification sign will be furnished. Any required electrical/internet services must be indicated on your registration form. There is a $50.00 charge for electrical service. No Charge for wireless internet.

Full payment must be received by the conference date of Sunday, February 25th, 2024.
To ensure that your organization’s name is listed in the conference app, your Exhibitor registration must be submitted by January 31, 2024.
Registrations submitted after February 10, 2024 will be charged a $50.00 late fee.
A forfeit of $25.00 will be required on all cancellations made prior to February 14, 2023.
No refunds will be made after February 14, 2024. Cancellations after that date will be charged FULL space rental. Cancellations of exhibit space must be submitted in writing to the PASAP Office, PO Box 1254, State College, PA 16804 or via email at firstname.lastname@example.org.
SET UP HOURS
Exhibitors must arrive on Sunday and set-up must be completed by 11:00 AM.
Sunday 11:00 AM to 5:00 PM,
Monday 7:30 AM to 5:30 PM
Tuesday 7:30 AM to 12:45 PM
The exhibitor agrees not to dismantle exhibit or do any packaging before the closing of the conference at 12:45 PM. Tear down should be completed by 1:30 PM on Tuesday.
**Assignment of Exhibit Space
Exhibit space will be assigned in the order in which paid applications are received. Exhibit management shall use its best efforts to locate the booth away from like vendors and will accept requests to be positioned alongside other specific exhibitors based on availability. Exhibit management reserves the right to change location assignments when such action is deemed to be in the best interest of the Exhibition.
The PASAP Conference reserves the right without recourse to absolutely control or prohibit any exhibit, which in its opinion, is not suitable or in keeping with the character of the conference. This regulation includes, but not limited to, persons, things, conduct, printed matter, souvenirs, catalogues, etc. The PASAP Conference reserves the right to withdraw an exhibitor if payment has not been received by the conference date.
All property of the exhibitor is understood to remain under custody and control of the exhibitor, in transit to and from or within the confines of the exhibit area. Exhibitors are advised to carry insurance to cover exhibit material against loss or damage and public liability insurance against injury to the person or property of others. The PASAP Conference and the Penn Stater Hotel and Conference Center assume NO responsibility for the safety of the properties of the exhibitor, his officers, agents, or employees from theft, damage by fire, accident or any other cause.
The exhibitor shall name one individual as the duly authorized representative, to have charge of the exhibit, and to accept and assume responsibility for such representatives, or alternates, in attendance at the exhibit throughout all exhibit periods. Additional representatives can be named when completing the registration. Name badges will be printed and issued to all named representatives.
Purchase of Meals
If requesting meals there is a $216.00 per person additional charge to be included with the registration form. This covers the costs of the Sunday Evening Banquet, Monday and Tuesday Full Breakfasts, the Monday Luncheon and all nutrition breaks.
Any and all matters not specifically covered by the preceding rules and regulations shall be subject solely to the decision of the PASAP Conference committee. The conference committee shall have full power to interpret, amend, and enforce these rules and regulations, providing any amendments, when made, are brought to the notice of the exhibitors. Each exhibitor, for itself and its employees, agrees to abide by the foregoing rules and regulations and by any amendments or additions thereto in conformance with the preceding sentence.
Liability and Insurance
All property of the Exhibitor remains under its care, custody and control in transit to and from Exhibit Hall, during installation and removal, and while it is within the confines of the Exhibit Hall. Neither PASAP Conference committee or the owners or management of the Exhibit Hall nor any of the officers, staff members, or directors of any of the same are responsible for the safety of the property of Exhibitors from theft, damage by fire, accident, vandalism or other causes, and the Exhibitor expressly waives and releases any claim or demand it may have against any of them by reason of any damage to or loss of any property of the Exhibitor, except where the damage or loss is due to the gross negligence or willful misconduct of PASAP Committee or the owners or management of the Exhibits Hall, under the duties and responsibilities under this agreement.
